Purpose

• We think that this affiliate scheme can provide a win-win scenario both for ourselves and the affiliates involved.
• Values are important to us, so we’ve tried to design our affiliate scheme to be fair to everyone involved, followed by being completely transparent and open about how it all works within this document.

Registration

• To register as an affiliate, please complete our affiliate registration form.
  • For the ‘Username’ field, use a simple lowercase version of your organisation’s name.
  • For the ‘First Name’, ‘Last Name’, and ‘Email’ fields, use the contact details of the person administering the affiliate scheme within your organisation.
  • We recommend that you use a unique randomly generated password, and store it securely in a password manager. In particular, do not reuse passwords from other systems.
  • Leave the ‘Payment Email’, ‘Website’, and ‘How will you promote us?’ fields blank.
• We reserve the right to reject the registration of a prospective affiliate for any reason.
• Just give us a shout if you have any problems with registering.

Operation

• Once registered as an affiliate, you’ll be assigned an affiliate id, and be able to access your affiliate dashboard.
• Including this affiliate id as a parameter in any links you make to our website allows us to identify you as being responsible for any subsequently made purchases by a visitor following your link, thereby qualifying you to earn commission on that purchase.
• When a visitor follows your link, your affiliate id is also saved as a cookie by their browser, so that you can also be awarded commission for purchases made on subsequent visits within a limited timeframe, even if your affiliate link isn’t used to reach our site on those occasions.
• Your affiliate dashboard allows you to monitor use of your affiliate link(s) and commission earned.

Commission

• Commission will be paid at 15% of the ex-VAT price of scheduled courses listed on our training website.
• Only scheduled courses organised by one of our brands (ie Loates Management Training, Loates HR Consultancy, Loates Workplace Wellbeing) will qualify for commission, not on-demand courses, nor those run by us on behalf of 3rd-parties (eg D2N2).
• Commission will be paid on each scheduled course place purchased by a buyer within 28 days of them following your affiliate link to our website. Provided that visitor browser cookies are working properly, this will happen even if they don’t use your affiliate link to reach our website on the subsequent occasion where they actually make the purchase.
• Our commission tracking system relies on potential buyers allowing the use of cookies on their web browser, and not deleting them between browsing sessions. Without these, we cannot associate course places bought on subsequent sessions with the use of your affiliate link to originally reach our site. We don’t have any control over this, so in the unusual case that buyer cookies aren’t operational, you won’t qualify for commission on any purchases made during those sessions.
• All scheduled course places purchased by a given buyer within that 28-day period will qualify for commission, whether they are for the same scheduled course or different ones, and irrespective of whether they were bought on a single or multiple occasions.
• If the buyer has followed links to our website from several different affiliates during this period, only the affiliate associated with the first link followed will qualify for commission.
• You will qualify for commission even if the place purchased isn’t for the scheduled course(s) you originally linked to.
• Any orders placed by yourself having followed your own affiliate link will also qualify for commission.
• Commission won’t be approved by us for payment until both…
  • we have received payment for the course.
  • the course has been delivered.
• If bookings are cancelled before the course runs and not rescheduled , the commission related to them will also be cancelled.
• Approval of commission won’t result in immediate automatic payment to you. Instead, you will need to request payment. This is to ensure that payments are properly documented, for example, in relation to VAT. In the meantime, commission will accumulate in your affiliate account balance, as tracked within your affiliate dashboard.
• To assist with this, you will automatically be sent emails to your registered address when commission is earned, approved, and so on.
• You can request payment for any proportion of the current approved balance of your affiliate account at any time by sending us an invoice. We can pay by bank transfer, PayPal transfer, or card.
• If you are VAT-registered, then your invoice should add VAT to the commission being claimed.
• We will do our utmost to always be fair, but our decision as to whether commission is applicable or not is final.

Linking

Simple

• Your affiliate dashboard contains a number of pre-defined graphical links created by us.
• These automatically link to the appropriate page on our website in relation to the graphic, and already include your own affiliate id.
• So, just choose one of these, copy the provided HTML code into your website, and you’re good to go!
• If you’d like any additional sizes, graphics, or landing pages, just give us a shout!

Advanced

• Alternatively, you can manually create your own custom links to anywhere on our website.
• As long as you append your affiliate id as a parameter (ie ?aff=n, where n is your affiliate id), you will be credited with commission for purchases subsequently made by a buyer who has followed that link to our website.
• Your affiliate dashboard contains a useful link construction tool to help you correctly add the appropriate parameter to the desired link.
• Creating your own links allows you to…
  • Copy our pre-defined images and host them yourselves, rather than relying on our hosting
  • Create your own images
  • More specifically target your promotion
  • Including affiliate links in places other than your website, such as email footers, newsletters, and so on.
• If you do create your own graphics for your affiliate links, we would ask that you include our brand logo appropriate to the course(s) being promoted.
• Please contact us to obtain our brand graphics and guidelines as to their use.

Responsibilities

• We’ll do as much as we can to help you successfully create your affiliate links, but the final responsibility of making sure that they are setup correctly, so that your commission can be properly assigned, rests with you.
• Whilst we may periodically review affiliates accounts and notify you if you have a commission balance available to cash out, we do not guarantee to do this. So, it is your responsibility to monitor your account balance via your affiliate dashboard, query anything unexpected, and submit invoices for payment of approved commission when appropriate.
• Whilst we make every reasonable effort to make sure our training website is available, properly functioning, and error free, we cannot absolutely guarantee this.

Termination & Changes

• We require our affiliates to be open and honest about their participation in this scheme, in line with our own values, so any attempt to earn commission via misleading or otherwise underhand means will result in your immediate removal from the affiliate scheme.
• We reserve the right to remove individual affiliates from the scheme at any time and for any reason.
• We also reserve the right to completely close this affiliate scheme at any time and for any reason.
• Conversely, you can withdraw from the scheme at any time and for any reason by giving us notice in writing.
• If we close your affiliate account then we will pay you all commission currently owing.
• We will periodically review the operation of the affiliate scheme and may decide to change the commission rate or the products it is paid on.
• We will give you at least 28 days notice in writing of any such changes we make.
